General Sales Conditions

1 – Acceptance of the present clauses

All registrations for the European Congress of Enthomology organized by the University of Tours, as well as payment for the admission(s) purchased, imply acceptance of the present General Terms and Conditions of Sale.

1.1 Registration

Registration is considered effective upon receipt of the online registration form on https://www.ece2026.org and payment of the registration fee.

On-line registration: Registration will be paid as soon as the order is placed, using the secure on-line payment service guaranteed by the Université de Tours’ agent, the VERTCOM agency. The confidentiality of banking information is guaranteed and secured by the SSL protocol, which systematically checks the validity of access rights during payment by credit card and encrypts all exchanges.

On-site registration: Payment for on-site registration is by credit card or cash.

Multiple registrations: In the event of the purchase of invitation lots, the contact details of each participant must be communicated to the organizer, both for security reasons and to issue name badges.

Organizers, guests, plenary speakers: Registration under this status is free of charge.

Accompanying persons: They are registered for the congress and pay registration fees in the “adult” category from age 13 and in the “child” category from age 4 to 12 inclusive. There is no registration fee for children under 4. Accompanying persons have access to the entire Vinci Congress Center, but may not take part in the scientific exchanges.

1.2 Prices and payment

Payment can be made by credit card, bank transfer or cash on site. Prices are quoted in euros. Registration is definitive once full payment has been received by the agent acting on behalf of the Université de Tours. The organizers reserve the right to refuse entry to any person who has not paid their registration fee.

As part of the registration and payment process, the participant must provide the following information: first and last name, e-mail address, telephone number, job title, establishment, town and the options chosen from those offered on the site.

2 – Cancellation

Cancellation requests must be made in writing by e-mail with acknowledgement of receipt to the conference organizer at secretary@ece2026.org.

For payments made by credit card, the refund will be made to the same card (within two months of the date of payment). For all other payments, a bank transfer will be made to the beneficiary of the account. The applicant must enclose a bank statement in order to proceed with the reimbursement. For payments received by bank transfer outside France, all bank charges inherent in the reimbursement will be borne by the beneficiary.

2.1 Cancellation D – 3 months: full refund

Cancellation requests received at least 3 months before the date of the congress will be reimbursed in full.

2.2 Cancellation D – 2 months: partial refund

In the event of cancellation 2 months before the date of the congress, 50% of the registration fee will be invoiced to.

2.3 Cancellation less than 2 months: no refund

There is no refund for cancellations made less than 2 months before the conference date. The full registration fee must be paid.

Furthermore, no refund will be made in the event of a participant’s absence from the event.

2.4 Cancellation in case of visa refusal

Cancellations made after a visa has been refused entitle the participant to a refund of the registration fee, less a handling fee of €80 per participant, regardless of the date on which the cancellation request is made. The participant must provide an official document attesting to the refusal. Notification must be received in writing by e-mail with acknowledgement of receipt no later than 10 working days* before the start of the conference for reimbursement to be possible. Cancellations received after this deadline do not entitle the participant to a refund.

*Saturdays and Sundays are not considered working days.

2.5 Participant substitution

If a participant is unable to attend an event for any reason, he/she may, with the agreement of the organizer, be replaced by another person from the same organization. Any changes to the initial registration must be sent in writing by e-mail with acknowledgement of receipt to the conference secretariat at secretary@ece2026.org. Any change of participant cannot result in a downward adjustment of the fee category.

If a registrant is unable to participate and cannot be replaced by another person from the same organization, the refund provisions specified above apply.

3 – Reprogramming or modification

The Université de Tours reserves the right to reschedule the conference, modify the venue or program content, or replace a speaker, if circumstances beyond its control so require, without entitlement to compensation or reimbursement.

4 – Applicable law – Jurisdiction

The present General Terms and Conditions of Sale and the operations arising therefrom are governed by and subject to French law. The present General Terms and Conditions of Sale are written in French. In the event of translation into one or more foreign languages, the French text shall prevail in the event of litigation.

5 – Information technology and civil liberties

In accordance with the provisions of Law no. 2004-801 of August 6, 2004, the information you are asked to provide is required to process your registration and is intended for use by the University of Tours and its agent VERTCOM.
